Payroll Support
Outsourced payroll services for organisations that need a dependable way to manage payroll work, or extra capacity around an existing team.
OPS takes on agreed payroll activities so owners, executives and internal teams are not left carrying work that has outgrown the time or resources available. The arrangement can focus on regular payroll processing, selected activities or a defined piece of payroll work.
When your current payroll arrangements are no longer enough
Organisations often start looking for another approach when:
A payroll arrangement that worked for a smaller organisation can become harder to sustain as the workforce grows or changes. More information must be collected, checked and processed, while the time available inside the business may not increase with it.
payroll depends heavily on one person, with limited cover during leave or busy periods
manual handling and follow-up are taking too much time each pay cycle
an employee award becomes too complex to manage
a change in workforce, provider or payroll system has created extra work
leaders or finance and operations teams are repeatedly drawn into payroll matters.
What outsourced payroll support can cover
OPS provides payroll processing as an outsourced business service. OPS can take responsibility for agreed work before, during and after each pay run.
Outsourced payroll can work alongside your team
Outsourcing payroll does not necessarily mean replacing the internal payroll function. OPS involvement can take the form of ongoing outsourced payroll services, selected processing activities, extra capacity alongside an internal team, a defined project, or help with a payroll-system or provider change.
Preparing and processing payroll
This can include preparing pay runs, carrying out payroll calculations and processing employee changes using the information and decisions supplied for the pay cycle. Leave, allowances and deductions can be handled as part of the agreed work.
Records, reporting and follow-up
Payroll work also creates records that need to be maintained and checked. OPS can handle agreed payroll reports or reconciliations and follow up corrections or payroll queries that form part of the engagement.
Keeping each pay cycle on track
Employee changes, leave and other payroll inputs need to be captured before agreed checks and approvals take place. A clear flow reduces last-minute chasing and shows what still needs attention before payroll is finalised.
The payroll system shapes that flow, but it is only one part of the arrangement. OPS works within the agreed payroll process, including how information is supplied, reviewed and processed. When a provider, process or system changes, the handover must account for access, payroll data and the activities that need to continue.
Clear inputs, checks and approvals
Outsourcing payroll changes who performs the agreed work. It does not remove the need for clear information, decisions and authorisation inside the organisation. The client supplies or confirms the employee and payroll information needed for the pay cycle. OPS completes the agreed activities, with validation of the information lcompleted before payroll is finalised.
Approval of processing pay run is sought from the client. The engagement should also make clear who authorises payment adjustments, maintains particular records, answers employee questions and deals with corrections. Setting those responsibilities at the outset gives both teams a workable way to manage each pay cycle and escalate an issue when needed.
Payroll processing can involve employment settings and statutory obligations. OPS works from the information and settings approved for payroll. Matters requiring tax advice, industrial-relations advice or legal advice are excluded by OPS and should be sought fromthe appropriate subject matter expert or specialist.
